Terms and Conditions

1. About Awaken Pilates

Awaken Pilates is a specialist Pilates studio offering informed, rehabilitation-focused movement sessions. Our work includes pre- and postnatal care, post-injury rehabilitation, reformer Pilates, and personalised one-to-one sessions designed to support long-term strength, recovery and alignment.


These Terms & Conditions apply to all services provided by Awaken Pilates, including private sessions, small group sessions, workshops and programmes booked via www.awakenpilates.co.uk or any affiliated booking platform.


By booking or attending a session, you agree to the terms outlined below.


2. Professional Scope & Client Responsibility

Awaken Pilates provides movement education and physical training within the scope of Pilates instruction. Our sessions are not a substitute for medical diagnosis or treatment.

By attending a session, you confirm that:

  • You are medically fit to participate in exercise.
  • You have disclosed all relevant health conditions, injuries, pregnancy or postnatal status.
  • You will work within your own physical limits.
  • You understand that participation is undertaken at your own risk.

If your health changes, or if you experience new or worsening symptoms, you must inform us prior to your next session.

We reserve the right to decline or postpone instruction where we believe participation may compromise your safety.


3. Pregnancy & Postnatal Care

Awaken Pilates specialises in supporting women during pregnancy and postnatal recovery.

Clients attending during pregnancy or after childbirth must ensure they have appropriate medical clearance where necessary.

While we take every precaution to ensure safe programming, prenatal and postnatal exercise carries inherent physical considerations. By attending, you acknowledge and accept responsibility for your participation.

Any pain, unusual symptoms or concerns should be reported immediately and medical advice sought before continuing.

All health information shared is treated confidentially in accordance with UK GDPR.


4. Bookings & Payment

All sessions must be booked and paid for in advance via our booking system unless otherwise agreed.

Session pricing is available on our website. Awaken Pilates reserves the right to amend pricing at any time.

Your booking secures your dedicated time within the studio.

All new clients must complete their Health Questionnaire prior to attending the Initial Movement Assessment. We cannot safely do your Initial Movement Assessment without this filled, so will need to reschedule until this is completed. 

If your health information changes, please update the team via email as soon as possible on info@awakenpilates.co.uk.



5. Cancellations & Transfers

We operate a 24-hour cancellation policy in respect of our instructors’ time and the limited availability of our studio.

  • A minimum of 24 hours’ notice is required to reschedule a session.
  • Cancellations made with less than 24 hours’ notice are charged in full.
  • Missed sessions are non-refundable and non-transferable.

Refunds are not offered.

If Awaken Pilates needs to cancel a session, you will be offered an alternative appointment.


6. Packages & Validity

Where session packages are purchased:

  • Packages are valid for the stated time period from the date of purchase.
  • Sessions are non-transferable.
  • Unused sessions expire after the validity period.
  • Packages are not refundable.

This ensures fairness and consistency for all clients.


7. Studio Environment & Conduct

Awaken Pilates is intentionally calm, private and professionally run.

We ask all clients to:

  • Arrive on time.
  • Wear suitable movement clothing (no zips, studs or abrasive materials).
  • Wear grip socks and close fitting clothing for reformer sessions.
  • Avoid strong perfumes or oils.
  • Keep mobile phones off or on silent during sessions.

Clients must follow instructor guidance at all times and may not use equipment unsupervised.

Any behaviour that is unsafe, abusive, disruptive or inappropriate may result in refusal of service without refund.


8. Parents & Babies (Where Applicable)

Certain sessions are designed for one adult and one baby.

Parents and carers remain responsible for their child at all times.

Babies are, of course, welcome to feed, sleep or cry — our studio is designed to feel supportive and understanding.

Siblings may attend only with prior agreement.


9. Illness Policy

To protect the wellbeing of all clients:

  • Please do not attend if you are unwell.
  • Do not attend within 48 hours of sickness or diarrhoea.
  • Notify us as soon as possible if illness prevents attendance.


10. Safeguarding & Inclusion

Awaken Pilates is committed to providing a safe, respectful and inclusive space.

We do not tolerate discrimination, harassment or threatening behaviour of any kind.

Safeguarding concerns will be taken seriously and handled appropriately.


11. Photography & Media

Occasionally, discreet photographs or short video clips may be captured for marketing purposes.

You will always be given the opportunity to opt out, and no identifying imagery will be used without explicit consent.


12. Personal Belongings

Personal belongings are brought into the studio at your own risk. Awaken Pilates accepts no liability for loss, theft or damage.


13. Accessibility

The studio is located on the ground floor with one step to enter the property.

Bathroom facilities are located on the first floor and accessed via stairs. Unfortunately, this means the space is not suitable for wheelchair users or individuals unable to manage stairs.

If you have specific access needs, please contact us prior to booking so we can advise appropriately.


14. Limitation of Liability

Participation in any session at Awaken Pilates is undertaken voluntarily and at your own risk.

Awaken Pilates shall not be held liable for injury, loss or damage sustained during attendance, except where required by law.

By booking and attending sessions, you accept the inherent risks associated with physical exercise and the use of Pilates equipment.


15. Website & External Links

Information provided on our website is for general guidance only and may be updated at any time.

Awaken Pilates is not responsible for the content of third-party websites linked for convenience.


16. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.


17. Amendments

Awaken Pilates reserves the right to update these Terms & Conditions at any time. The most current version will always be available via our website.

By booking or attending a session, you confirm acceptance of these Terms.



Awaken Pilates – 1:1 Reformer Pilates Membership Terms & Conditions

By purchasing a 1:1 Reformer Pilates Membership with Awaken Pilates, you agree to the following terms and conditions.


Membership Commitment

  • Memberships operate on a minimum 6-month commitment. 
  • Payments are collected monthly via standing order, direct debit, or agreed payment method. 
  • Your membership secures a reserved weekly appointment slot and ongoing programme planning tailored specifically to you. 


Monthly Payments

  • Membership fees are due on the same date each month. 
  • Payments are non-refundable and non-transferable. 
  • Missed or late payments may result in suspension of sessions until payment is received. 


Session Scheduling

  • Sessions are booked at an agreed recurring weekly time where possible. 
  • Any changes to regular appointment times are subject to availability. 


Cancellation Policy

  • A minimum of 24 hours’ notice is required to cancel or reschedule a session. 
  • Sessions cancelled with less than 24 hours’ notice will be charged in full. 
  • No-shows will be charged in full. 


Missed Sessions

  • One missed session per calendar month may be rearranged with adequate notice, subject to availability. 
  • Rearranged sessions must be used within the same calendar month unless otherwise agreed. 
  • Unused sessions do not roll over. 


Pausing Memberships

  • Membership pauses may be considered in cases of medical need, injury, pregnancy complications, or exceptional circumstances. 
  • Any pause request must be made in writing. 
  • Approval of pauses is at the discretion of Awaken Pilates. 


Ending Your Membership

  • Following the initial 6-month term, memberships continue on a rolling monthly basis unless cancelled. 
  • A minimum of 30 days’ written notice is required to cancel after the initial commitment period. 
  • Early termination within the initial 6-month period requires payment of the remaining contracted balance unless otherwise agreed in exceptional circumstances. 


Health & Responsibility

  • Clients are responsible for informing their instructor of any injuries, medical conditions, pregnancy, or changes to health status. 
  • Participation in sessions is undertaken at your own risk. 
  • Recommendations provided during sessions do not replace medical advice from a qualified healthcare professional. 


Instructor Cancellations

  • In the rare event that a session must be cancelled by Awaken Pilates, an alternative appointment or credit will be offered. 


General

  • Awaken Pilates reserves the right to update these terms and conditions where necessary. 
  • Continued participation in the membership constitutes acceptance of the current terms.

PRIVACY POLICY

The information the business collects:

We collect full names and DOBs (of both carers and children), addresses, phone numbers, email addresses, payment details, an emergency contact name and details, and various medical history. We may also ask for contact details of other professional care that you might be receiving or recently received and If you have shared information about other professional care, eg physiotherapist, osteopath etc, then with your permissions, we will contact them for further information about your care with them, to provide the safest and most holistic care. 


How we collect data and how we use it:

Your information will be taken at time of booking online, via email, through the website, in-person registration, or by online form.


We use the personal information to enroll you into classes and take payments and may at time to time use your details to send you promotions and marketing. We also use your information provided in the health questionnaire to prepare your sessions according to your health history. 


We do not share your personal details. 


Who has access, how it’s protected and how long do you retain their information:

In order to prioritise safety of your data, only me and the third-party service providers that you made the booking from will have access to your data (e.g. your website provider or booking platform).


As many of our clients stay with us for many years after their initial reason for starting, we keep your personal data for as long as necessary.
